iPhone, iPad, and iPod Touch E-mail Setup Instructions

This page explains how to set up the Apple iPhone, iPad or iPod touch to send and receive e-mail. (You must have first created the mailbox on our servers.)

The pictures below are from the iPhone screens, but the iPad and iPod Touch screens are very similar.

1. Go to the mail setup screen.

From the iPhone main screen, tap Settings > Mail, Contacts, Calendars > Add Account. This makes the new account screen appear.

2. Choose the "Other" account type.

Tap Other at the bottom of the new account screen:

This makes the "Enter your account information" screen appear.

3. Enter the basic account information.

Type the following settings:

  • Name: Your full name, such as "Steve Jobs"
  • Address: Your e-mail address
  • Password: Your e-mail password

The screen should look similar to this:

When you're finished, click Save in the upper-right corner of the screen.

4. Enter the remaining account information.

Leave IMAP selected at the top of the screen, then type the following settings under "Incoming Mail Server":

  • Host Name: mail.yourdomainname.com (enter your domain name here)
  • User Name: Your e-mail address
  • Password: Your e-mail password

And the same settings under "Outgoing Mail Server":

  • Host Name: mail.yourdomainname.com (enter your domain name here)
  • User Name: Your e-mail address
  • Password: Your e-mail password

The screen should look similar to this:

REALLY IMPORTANT INFORMATION :

  • The "User Name" in both sections must be all lowercase.
  • The "Outgoing Mail Server" user name and password are required, not optional. You need to enter your user name and password if you want to send mail.
  • It's correct for the "Incoming Mail Server" and "Outgoing Mail Server" settings to be identical.
  • The passwords you enter here must be the e-mail mailbox password your account was set up with. If you don't know your password, please contact us.

When you're finished, click Save in the upper-right corner of the screen.

The steps above are sufficient for basic e-mail. You can check your e-mail to make sure it's working at this point: Press the Home button to return to the main screen, then click the Mail icon.

5. Set up Drafts, Sent and Trash folders (optional but recommended).

You probably also want to make sure your iPhone stores sent, deleted and draft messages on the mail server. This will allow you to see those messages if you also use Webmail (or another IMAP mail program) to read the mailbox.

First, make sure you've read incoming mail on your iPhone at least once. Then return to the mailbox settings page by going back to the iPhone home screen and tapping Settings > Mail, Contacts, Calendars > (your e-mail address).

You'll see a screen that looks similar to the one you just typed your settings into, but if you scroll down to the very bottom, you'll find a new Advanced item. Tap Advanced:

You'll see a section titled "Mailbox Behaviors". We want to change all three "behaviors", so first, tap Drafts Mailbox:

That makes the "Mailboxes" screen appear:

Tap Drafts from the "On the Server" section, as shown in blue above. This saves that setting and returns you to the "Mailbox Behaviors" screen.

Repeat the same steps for the "Sent Mailbox" (choosing Sent on the server) and the "Deleted Mailbox" (choosing Trash on the server). When you've finished, the "Mailbox Behaviors" should look like this:

You're finished!

Your iPhone can now send and receive e-mail.

By the way, if you ever need to return to these screens and view or edit the settings of an existing account, you can tap Settings > Mail, Contacts, Calendars > (your e-mail address) at any time.

Troubleshooting

After following these instructions, some people tell us they don't see some messages they expect, or that older messages disappear after they've seen them.

This will happen if you have another mail program checking the same mailbox, and the other program is set to delete messages immediately. Changing the settings on the other program to make it leave a copy of the messages on the servers for 7 days will fix that.

What settings should I use for outgoing mail on my iPhone?

If you follow our normal iPhone setup instructions above, it should set up the outgoing SMTP server settings automatically.

If you have any questions about whether it’s set up correctly, do this:

  • From the iPhone main screen, tap Settings > Mail, Contacts, Calendars > (your e-mail address).
  • Scroll down to the “Outgoing Mail Server” section and tap SMTP.
  • Tap the name of the primary outgoing mail server (which should be mail.yourdomain.com).

That shows the SMTP settings for mail.yourdomain.com. It should look like this:

(The number of dots shown for your password may be different.)

If it doesn’t look like that, and you want to use our outgoing mail server, you should change the necessary settings. Click the SMTP arrow button in the top left when you’ve finished making changes.
